What You’ll Be Doing

  • Retrieves messages from voice mail and forwards to appropriate personnel.
  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors, employees, vendors and applicants, determines nature of business, and announces visitors to appropriate personnel.
  • Maintains class sign in list for new hires on the first day of their training class.
  • Assist with Monthly Center Events and manage front desk communication monitor (e-board) Issue Badges and Access Cards to new hires. Has individuals who are having badges replaced, complete deduction form and sends to Payroll for action.
  • Monitors and request visitor accesses and parking and issues passes when required and maintains visitor log.
  • Receives, sorts, and routes mail, and maintains and routes publications.
  • Supports HR and payroll functions as needed, including but not limited to: follow up with discrepancies for new hire paperwork and benefits documents.
  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
  • Performs other clerical duties as needed, such as filing, photocopying, and collating.

Knowledge of:

  • Company policies and procedures as outlined in the employee handbook; Multi-line telephone system and how to properly route calls and/or take messages; Basic computer skills including keyboarding; Computer programs including Excel, Word, and Outlook; Emergency and legal procedures.

 

Ability to:

  • Prioritize tasks and handle multiple tasks at one time; Effectively communicate using proper grammar and syntax; Handle irate customers with patience, professionalism and courtesy; Handle emergency situations promptly and with discretion; Make overhead announcements with professional tone and language; Exhibit a professional image and demeanor at all times; Pass skills tests which includes General qualifications test and computer tests as necessary.

 

EDUCATION and/or EXPERIENCE:

  • High School diploma or G.E.D. Minimum 3-6 months related experience required.

 

LANGUAGE SKILLS:

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively to customers or employees of organization.

 

MATHEMATICAL SKILLS:

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to calculate prices and provide correct monetary change. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

REASONING ABILITY:

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

 

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Valid driver’s license or other Government issued ID
